AI for Dentists

Dental practices lose 10-25% of revenue to no-shows and uncompleted treatment plans. Front-desk teams drown in admin instead of actually talking to patients. AI fixes both without adding headcount.

Updated April 21, 2026

What's leaking revenue in most practices Three things show up in almost every practice I've talked to: 1. No-show rate. If you're running 15-25% no-shows and cancellations, that's 20-40 lost hours a week.

  1. Admin burden. Your front desk spends half their day on recalls, insurance, and confirmation calls instead of welcoming patients.
  2. Treatment plan follow-up. Patients accept a plan, don't schedule, and nobody chases. Six months later it's gone. AI doesn't replace your team. It handles the repetitive stuff so your team does the work humans are actually good at. ## Where AI moves the needle ### Smart appointment confirmations Text-based confirmations that actually work: patient responds yes, confirm silently. Patient says no or is vague, AI offers 3 alternative slots and books them. Patient ghosts, AI escalates to front desk. No-shows drop 30-50% in the first 60 days. ### Reactivation campaigns AI scans your practice management system (Dentrix, Eaglesoft, Open Dental, Curve), finds patients overdue for hygiene or with unscheduled treatment, and runs personalized outreach. Texts, not generic postcards. Most practices reactivate 10-30 patients a month they would have lost. ### Treatment plan follow-up After every accepted plan, AI runs a sequence: day 1 confirmation email, day 3 scheduling reminder, day 7 financing options, day 14 front-desk handoff. Acceptance-to-scheduled rates go from 50% to 75-85%. ### Insurance verification AI pulls eligibility data from major carriers before the appointment, flags coverage issues, and preps a clean benefits breakdown. Your front desk stops spending 20 minutes on hold per patient. ### Review generation After every appointment, AI texts a feedback request. Happy patients get a link to Google or Facebook. Unhappy patients get routed to the office manager. Reviews go up, problems surface before they become public. ### New patient intake Inbound calls and web forms get handled by AI after hours: answers basic questions, checks insurance acceptance, and books actual appointments to real slots in Dentrix or Open Dental. You stop losing the 40% of calls that come outside business hours. ### Clinical note drafting Some practices use AI scribes during exams that draft clinical notes in real time. You verify, sign, move on. Cuts charting time 50-70%. ## Tools worth knowing - Weave or Solutionreach for patient communication with AI
  • RevenueWell for reactivation campaigns
  • Dental Intel for analytics and recall
  • Simplifeye for AI front desk
  • Dentrix Ascend, Eaglesoft, Open Dental, Curve for practice management (all have API access)
  • Custom agents for anything specific to your practice ## A realistic stack for a 1-4 chair practice 1. Weave or Solutionreach for patient comms (-600/mo)
  1. RevenueWell for recalls and reactivation (-500/mo)
  2. A custom treatment-plan follow-up agent
  3. A custom after-hours intake agent Budget: -1.5K/mo in SaaS plus a one-time -10K for custom builds. Practices typically recover this in the first 30-60 days from reduced no-shows alone. ## Build vs buy Buy: the big patient comms platforms (Weave, Solutionreach, RevenueWell). They're mature, cheap, and integrated with every major PMS. Build custom when: - You want treatment-plan follow-up that speaks in your practice's voice
  • You have specific insurance verification rules the platforms don't handle
  • You want an after-hours intake agent that actually books into Dentrix, not just takes messages
  • You're running multiple locations and need custom reporting ## Realistic 90-day results Practices I've worked with typically see: - No-show rate drops from 18-25% to 8-12%
  • Recall success rate up 20-35%
  • Treatment plan scheduling rate up 25-40%
  • Front-desk capacity freed up 10-15 hours a week That usually adds up to -40K a month in recovered revenue for a 2-dentist practice. ## What to do first Fix the no-show problem. It's the biggest obvious money on the table. Either use Weave/Solutionreach if you're not already, or build a custom texting agent that actually knows your schedule. Then add treatment plan follow-up. Second biggest leak for most practices. Book a call if you want help mapping what's leaking in your practice. I work with dental offices across Canada and the US.

The AI workforce that handles this for dentists.

We don't build one giant AI bot. We build twelve specialists, each one trained on dentists and each one focused on a specific revenue leak. They work together as a team. You hire one or hire all of them. Here's what each agent does:

Riley, the AI Receptionist. Answers every call, qualifies the caller, books the job. 24/7.

Riley picks up the phone the moment it rings. She asks the right questions, looks up your calendar, and books the appointment before the caller has a chance to try the next contractor on Google. Every missed call becomes a captured job.

Plugs the missed calls leak. See Riley’s ROI calculator →

Cole, the AI Lead Closer. Responds to inbound web leads in under 60 seconds.

Cole is the first responder for every form fill, chat, or lead source. The second a lead lands, he's already replying in your voice with the right question, the right context, and the right next step. Response time goes from hours to seconds.

Plugs the slow follow-up leak. See Cole’s ROI calculator →

Ava, the AI Scheduler. Confirms, reminds, reschedules. No-shows go to zero.

Ava runs the calendar like a hawk. Day-before confirmations, morning-of reminders, and the second a customer says they can't make it she finds them a new slot before they ghost. Booked-to-completed ratio jumps.

Plugs the no-shows leak. See Ava’s ROI calculator →

Marcus, the AI Collector. Chases unpaid invoices. Polite. Persistent. Paid.

Marcus runs the AR follow-up your bookkeeper doesn't have time for. Day 1 friendly nudge, day 7 firmer reminder, day 14 escalation with a payment link. He recovers cash you'd otherwise write off and shrinks DSO.

Plugs the unpaid invoices leak. See Marcus’s ROI calculator →

Maya, the AI Support Agent. 24/7 customer service across web chat, SMS, and email.

Maya handles the customer service queue your team can't keep up with. She answers FAQs from your real knowledge base, processes refunds and returns, books rescheduling, and escalates only when a human truly needs to step in.

Plugs the support overload leak. See Maya’s ROI calculator →

Quinn, the AI Quote Closer. Sends quotes, follows up, recovers ghosted deals.

Quinn takes the quotes that went out and never came back. She runs a multi-week follow-up sequence built from what's actually closed your past deals, surfaces objections, and pulls ghosted prospects back into the pipeline.

Plugs the ghosted quotes leak. See Quinn’s ROI calculator →

Reese, the AI Onboarder. Walks every new customer through the first 30 days.

Reese owns the first 30 days. She welcomes every new customer, walks them through setup, checks in at the right milestones, and surfaces issues before they become churn. The customers who stick around are usually the ones who got onboarded right.

Plugs the early churn leak. See Reese’s ROI calculator →

Sage, the AI Reviewer. Asks every customer for a review. At the right moment.

Sage asks every customer for a review the moment they're happiest. She times the ask perfectly, sends through whichever channel they prefer, and routes negative feedback to you privately before it lands on Google.

Plugs the low review velocity leak. See Sage’s ROI calculator →

Drew, the AI Dispatcher. Routes incoming work to the right person, fast.

Drew triages every incoming job. He looks at location, skill required, tech availability, and customer priority, then routes it to the right person in seconds. Dispatch goes from a full-time job to a background process.

Plugs the dispatch admin leak. See Drew’s ROI calculator →

Beck, the AI Bookkeeper. Categorizes, reconciles, flags weirdness. Daily.

Beck handles the bookkeeping grind. He categorizes transactions, reconciles accounts, flags anything that looks off, and keeps your books month-end ready every single day. Your accountant gets clean data, your CPA bill drops.

Plugs the bookkeeping drag leak. See Beck’s ROI calculator →

Indi, the AI Marketer. Content, social, email campaigns. In your voice. At 5x output.

Indi runs the content engine. Blog posts, social, email campaigns, ad copy, review replies. She writes in your voice using your actual brand voice doc, ships on schedule, and measures every piece against real conversions.

Plugs the marketing bottleneck leak. See Indi’s ROI calculator →

Owen, the AI Reporter. Daily business dashboard, delivered to your inbox.

Owen pulls every number that matters every morning. Revenue, jobs booked, jobs completed, AR aging, lead source ROI, customer NPS. He delivers the dashboard at 6am so you walk into your day already knowing what's up.

Plugs the reporting drag leak. See Owen’s ROI calculator →

Every agent is custom-built around how dentists actually runs. The voice your phone agent uses, the questions it asks, the calendar it books into, the CRM it writes to, the pricing rules it follows: all configured to your operation. No generic chatbot energy. No off-the-shelf. The agents sound like you because they are trained on you.

Build with one agent first if you want to start small. Most clients pick the single biggest revenue leak (usually missed calls or slow follow-up) and ship that agent in 2 to 4 weeks. From there, the next agents stack on top because the foundation is already in place: the integrations, the knowledge base, the brand voice, the analytics. Each new agent is faster to build than the last.

Common questions

Does this work with Dentrix or Open Dental?

Yes. Dentrix, Eaglesoft, Open Dental, and Curve all have APIs or integrations that let AI read appointments, patient data, and treatment plans. Most off-the-shelf tools already integrate. Custom builds sit directly on top.

Is it HIPAA compliant?

The big dental tools (Weave, Solutionreach, RevenueWell) are. Any custom build needs a BAA and SOC 2-compliant infrastructure. Don't use plain ChatGPT with patient data. Use a provider that signs a BAA.

Will patients hate being texted by a bot?

If it's obviously a bot and doesn't work, yes. A well-built AI that actually reschedules their appointment in 30 seconds gets better satisfaction scores than a front desk that makes them wait on hold. The quality of the experience matters more than whether it's human.

How long to implement?

Off-the-shelf tools: 2-4 weeks. Custom builds: 4-8 weeks. The bottleneck is usually PMS integration (especially older Dentrix or Eaglesoft setups), not the AI.

Can AI handle clinical notes?

AI scribes can draft notes in real time during exams. You review, edit, and sign. They save 30-60 minutes a day per provider but legally the dentist is still the author and responsible for accuracy.
